Executive Assistant

A busy principal in San Francisco is seeking to hire a top-notch Executive Assistant to manage the administrative arm of his company, civic and political activities. This role requires an exceptional skill set that encompasses superior organization and calendar management covering time zones. Willingness to travel with the principal when requested, including an occasional weekend. Must have excellent organizational and time management skills, with the ability to prioritize competing tasks effectively. The ideal candidate must possess a hospitality-oriented approach, strong communication skills, and a high level of discretion. This position is available for an immediate start to replace the principal's longtime assistant of 15 years, who is relocating. 

 

Responsibilities: 

  • Maintain the principals' personal and professional calendars, scheduling appointments and tracking RSVPs to events. 

  • Maintain the current filing system for important documents, including car registrations, maintenance contracts, warranties, and NDAs; print documents for principal's review. 

  • Collaborate with travel concierge, event planner, and accountant as needed to coordinate travel arrangements and manage expenses. 

  • Provide reminders to principals of meetings, birthdays, and other important dates to ensure timely attendance. 

  • Maintain confidentiality and discretion in handling sensitive information and personal matters. 

  • Anticipate the principal's needs and proactively address any issues or concerns to enhance their comfort and satisfaction. 

 

Qualifications: 

  • At least 10 years' experience as an Executive Assistant in a Corporate Office private or similar high-profile environment. 

  • Strong communication and interpersonal skills, with the ability to interact confidently with individuals from diverse backgrounds. 

  • Discretion and confidentiality are paramount, with a demonstrated ability to handle sensitive information and maintain confidentiality at all times. 

  • Flexibility and adaptability to accommodate changing priorities and work schedules. 

  • Must live close to the Presidio area (within 20-30 minutes). Relocation will be offered for the right candidate.  

  • Bachelor's degree required 

 

Schedule:

  • Generally, Monday through Friday, 8am-6pm with flexibility on the weekends.

 

Compensation: 

  • Competitive salary up to $180K, depending on experience, plus an amazing benefits package.
