HR Assistant

 JOB SUMMARY:

HR Assistant will support HR management-level staff and perform a variety of tasks. This role will require you to both take direction and work intuitively to support the completion of the department's goals and objectives. The primary duty of an HR Assistant will be managing the front desk when needed, receiving and directing visitors, word processing, creating spreadsheets, managing travels, bookings, training, events and other HR projects as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Receives and directs incoming calls to appropriate personnel and voicemail. Greets and announces clients, applicants and visitors. Follows security procedures for recording guests, suppliers and other visitors.
  • Act as the point of contact between the executives and internal/external clients
  • Undertake the tasks of receiving calls, taking messages and routing correspondences.
  • Handle requests and queries appropriately
  • Arrange meetings and appointments and provide reminders
  • Make travel arrangements, hotel and dining arrangements as needed
  • Monitor office supplies and reorder when appropriate
  • Produce reports, develop and carry out an efficient documentation and filing system
  • Support the HR team in important HR tasks, projects, initiatives etc.

 

            Requirements/ Qualification standards:

  • Excellent knowledge of MS Office
  • Proficiency in English
  • Exemplary planning and time management skills
  • Ability to stay calm and on-task in high-stress situations
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills
  • Discretion and confidentiality
  • High School degree: additional qualification as personal assistant would be considered an advantage
