Records & Identification Tech

PURPOSE OF THE CLASSIFICATION:   

Performs a variety of specialized clerical and technical duties involved in processing various police records and reports; receives, enters, researches, and assimilates data in a records management system and other database systems; identifies and maintains crime activity and known offender information and statistics; and, performs a variety of related duties involved in the maintenance of highly confidential records.

ESSENTIAL TASKS:

  • Records, types, prepares, maintains files, and as required, enters into the department computer various reports and statistical data which include arrest, offense and supplement reports, witness statements, traffic accidents, UCR, criminal history, impound vehicle, fingerprint and photo files.
  • Validates reports of affiliated agencies. 
  • Receives and records fines, fees and issues receipts.
  • Responds to any inquiries from and assists.
  • Receives logs and files, releases and maintains evidence and as required testifies in court as custodian of the evidence.
  • Assist with sex offender registry compliance by registering sex offenders and checking dwelling addresses.
  • Prepares daily reports including media reports.
  • Answers telephones as needed. 
  • Operates numerous machines and office equipment.
  • Types correspondence and performs administrative work as required.
  • Operates office equipment such as fax machines, copiers, and phone systems, and uses computers for spreadsheet, word processing, database management, and other applications; learns to operate new office technologies as they are developed and implemented.
  • Performs other work as necessary and or as assigned.
  • Must report to work on a regular and timely basis.

REPORTING RELATIONSHIPS:

The Records & Identification Technician reports directly to the Chief of Police, or designee.

The Records & Identification Technician does not have any direct reports or supervisory responsibilities. 

QUALIFICATIONS:

Training and Experience:  Graduation from a standard high school or equivalent.  Previous experience in data entry; computer usage or inventory management is desired. 

Knowledge, Abilities, and Skills: Good knowledge of the methods of operation of general office technologies; ability to deal with the public in a calm, professional and efficient manner; ability to answer calls and questions with a clear, well modulated and pleasant voice and to use good grammatical construction in choice of words.  Skilled in the use of personal computers with familiarity with office practices and procedures, equipment and supplies.  Performance tests of skill in the use of a computer keyboard with speed of at least 10,000 keystrokes per hour and 40 WPM. 

Physical Requirements:  The physical requirements described here are representative of those that must be met by an employee to successfully perform the essential functions of this job in compliance with the American with Disabilities Act (ADA) requirements.  On a case-by-case basis, reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  While performing the duties of this job, arm and hand steadiness and finger dexterity will be needed enough to use a key board and telephone.  Prolonged sitting and standing is required.  Occasional lifting, and carrying of objects up to five (5) pounds, balancing, standing, bending, handling, climbing, twisting, kneeling and repetitive movements.  Occasional lifting and carrying up to ten (10) pounds. Vision, speech, hearing, speaking, and feeling sufficient to perform essential tasks.  Punctuality and reasonable attendance is essential.     Must submit to drug screening and fitness to work physical exam.

Licenses and Certificates:  Possession of a valid Oklahoma Class D driver’s license is required.  Sex offender compliance certification is required within one (1) year of employment. 

WORKING ENVIRONMENT:    Work in this classification is primarily indoors in an office environment.  Requires ability to work weekends, holidays and varied shifts.
