B. QUALIFICATIONS:

 

Ability to communicate effectively both orally and in writing. Ability to determine the customers' issues and handle accordingly.  Knowledge of general office procedures including typing, filing, etc.  Knowledge of agency and departmental policies and procedures.  Ability to maintain a filing system. Ability to greet the public and work well with others. Knowledge of agency and stat specific software.  Ability to type at a proficient level and speed.  Ability to compose correspondence that is both concise and professional. Knowledge of correct use of English grammar.  Knowledge of budgetary processes. Computer skills.  Ability to use agency specific software.  Ability to organize data into report format.  Basic math skills. Ability to check reports for accuracy. Organizational skills.  Ability to merge documents using computer software.  Ability to prepare agency specific forms.  Ability to open, sort, and route incoming mail, answer correspondence and prepare outgoing mail.  Knowledge of agency's mailing procedures.  Skill in research and presentation. Ability to research necessary information.  Ability to collect information from a variety of resources.  Ability to use information gathered to prepare reports and/or presentations.  Knowledge of office software i.e. Microsoft office.  Knowledge of Open Records Act.  Knowledge of agency confidentiality policies.  Ability to communicate effectively both orally and in writing.  Ability to determine the customer's issues and handle accordingly.  Ability to answer telephone, direct calls, and take messages.  Knowledge of agency policies and procedures.  Ability to make professional decisions taking into account the liability of the agency.  Ability to maintain files and records.  Knowledge of state and departmental purchasing policies.  Knowledge of bookkeeping. Ability to make purchases using purchase card.  Knowledge of departmental needs.  Ability to prepare agency specific reports.  Ability to make decisions with regard to job assignments and manage off ice workload. Ability to communicate office goals to staff.  Ability to delegate work assignments.  Ability to work with little or no direction.  Ability to prioritize duties and meet deadlines.  Ability to interpret policies and procedures.  Ability to implement plans for improvement. Ability to troubleshoot office equipment.  Ability to assist and answer staff questions.  Ability to remain current of departmental policies and procedures.  Entry Qualifications include Two years related experience OR Associate degree OR One year at the lower level position equivalent.  (GSSO51)

G.  ASSIGNED DUTIES

 

Provides administrative, clerical, and secretarial functions in support of an individual(s). Duties include supervising clerical staff, overseeing the billing process, scheduling the shifts for the week and weekends for HST's and clerks. Maintaining the inventory for the BHCC.

 

Duties Include:

 

Uses independent judgment and initiative to perform administrative, clerical and secretarial duties in support of an individual employee or group of employees. Composes, types, and distributes meeting notes, routine correspondence, and reports.  May purchase and maintain supplies and or stock items.  Maintains confidential information. Answers telephone and gives information to callers, take messages, or transfers calls to appropriate individuals.  Completes forms in accordance with organizational procedures.  Uses computer application software.  May supervise support staff and/or lower level employees.  Performs job responsibilities with minimal supervision.  Serves as job expert or organization resource in assigned areas. 

 

NOTE: This position will answer directly to the BHCC Clinical Coordinator.
