Job Summary:

We are looking for a dynamic, professional, and hardworking Part time Front Desk Administrative Assistant to join our growing team. This role will work directly with all persons in the Fairfax office as a point of contact for front desk coverage, calls, mail, faxes, and materials. This role is an in-office position.

Essential Duties and Responsibilities:

  • Collect referrals via phone and email for pediatric therapy services and document referrals accordingly
  • Ensure morning scheduled therapy sessions are occurring as planned, find session coverage as needed
  • Answer front desk phone and distribute emails, mail, faxes, UPS, and other deliveries as necessary
  • Monitor and maintain positive employee morale for office staff and therapists
  • Maintain the appearance/cleanliness of the office (kitchen, reception area, conference room, etc.), light cleaning of fridge, wipe down of high traffic areas throughout the day and organization of the storage room
  • Effectively communicate any known office related issues to manager to ensure all issues are resolved in a timely fashion
  • Other duties assigned by manager

Qualifications and Other Requirements: 

  • Associates/Bachelor’s degree or prior office administrative experience
  • Bilingual Spanish preferred
  • Ability to multitask, prioritize and use time efficiently
  • Excellent organizational skills, attention to detail and interpersonal skills
  • MS office programs, MS excel experience a plus

Physical Requirements:

  • Occasionally ascends/descends stairs going to, while at, or leaving work location or facilities traveled to for work events.
  • Must be able to remain in a stationary position for prolonged periods of time up to 90% of the work day working on a computer/electronic device.
  • The ability to observe details at close range (within a few feet of the observer).
  • The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.

  • Compensation: Part-time hourly non-exempt $20-22 per hour
  • Hours: Monday-Friday 8:30am-12:30pm. This position is in office.
