Administrative Specialist

Reporting to the Vice President of Government Affairs, the Administrative Specialist will be responsible for daily, weekly and monthly tasks. This position will be responsible for all clerical duties which require a strong reading and writing aptitude.

DUTIES AND KEY RESPONSIBILITIES:

  • Draft and proofread correspondence
  • Review and update health care policies and procedures as requested
  • Prepare agreements/contracts as requested
  • Assist with contract management
  • Research regulations, laws and legal articles as requested
  • Manage, organize and maintain documents in paper or electronic filing systems
  • Tracks, anticipates and prepares for upcoming deadlines, events and agenda items that require action by the VP
  • Assist in tracking the status of files, manage timelines and provide follow-up as necessary to ensure timely receipt of returned and properly signed documents
  • General office administration and office systems
  • Provide general administrative tasks as requested

QUALIFICATIONS:

  • At least 3-5 years’ experience as an administrative assistant
  • Associate or bachelor’s Degree preferred but not required
  • Healthcare/Assisted Living experience along with an understanding of electronic health records a plus
  • Knowledge of NYS DOH regulations
  • Proficient knowledge and extensive use of Microsoft Office, including Word, Excel Outlook and virtual meeting platforms
  • Ability to multi-task, work under pressure, meet deadlines and be able to thrive in a fast-paced work environment
  • Strong attention to detail, organizational and follow up skills
  • Excellent interpersonal and communication skills; both verbal and written
  • The ability to interact with a diverse group of individuals at all levels within the organization
  • A customer service attitude with the ability to train and mentor others within the organization
  • Willingness to roll up your sleeves and do what is necessary to ensure timelines are met; assisting in areas outside your scope of responsibility when necessary
