Administrative Assistant

Organization Overview:

Holy Family School of Faith is a well-established, Catholic non-profit organization with a mission: Lead People to Jesus through Prayer, Community and Personal Investment.  For the past 20 years, we have succeeded by cultivating a highly entrepreneurial culture and establishing a solid financial foundation. We are seeking a dedicated Administrative Assistant to help scale our ministry to new heights.

Position Summary:

The School of Faith Administrative Assistant is a critical part of our team. This person must be able to collaborate with others as well as be self-directed with little supervision. In addition, it's critical that this person is able to manage multiple tasks that require a large amount of detail with accuracy and efficiency.  This person must also possess good problem solving, time management and communication skills. This person must be able to use a computer very effectively and be capable and willing to learn software programs specific to performing tasks for the position. This person must see oneself and act as a team member responsible for the whole of the mission and it's activity.

Responsibilities & Qualifications:

Spiritual

•           Live a well ordered and balanced life

•           Daily habit of mental prayer and frequent participation in the sacraments

•           Pursue deeper conversion and growth in virtue

•           Receive regular spiritual direction

General Administrative

•           Assist Director of Catholic Spiritual Mentors Program with event preparation and execution

•           Email and calendar management

•           Mail – Open, process US Mail; mail all out-bound, manage certain vendor accounts

•           Answer main phone line – setup and maintain general voicemail greeting/s

•           Screen and handle telephone communications and greet visitors

•           Purchase and maintain office supplies inventory and breakroom hospitality items

•           General office and conference room maintenance to ensure a professional environment

•           Proofreading and letter writing

•           Draft and finalize written correspondence and documentation

•           Complete coordination, direction, and fulfillment of special projects

•           Maintain/organize project-related documents into both digital and paper filing systems

•           Using provided data, prepare spreadsheets and reports

•           Provide written communication to clients and vendors

Accounting/Bookkeeping

•           Work with accountant and assist with receivables

•           Work with VP, Executive Director of Operations and assist with booking/record keeping and communications associated with Trinity Travel

Technology

•           Proficient with Microsoft Office 365 suite of products and open to learning new technology.

•           Website – basic content management (platform is Squarespace)

•           Work with a number of programs including Virtuous (contact management system), QuickBooks, Bill.com, Tallie (expense reporting), Jotform, Avery.com, Mailchimp, Canva

Special Projects

•           Assist team at large with proofreading written materials

•           Assist team with presentation materials

•           Assist with planning and execution of events
