Executive Assistant to President
Office-based role in Boston, MA
Our clients are seeking an experienced and polished Executive Assistant to support their President. This role requires a detail-oriented and poised professional with a solid skillset in Microsoft Outlook, Adobe, and PowerPoint. The right candidate adeptly provides C-level support and is an anticipatory right-hand to the President.
Responsibilities:
- Serve as the POC between the President, execs, and internal/external stakeholders
- Manage complex calendars, meetings, and appointments, maximizing efficiency
- Handle calls, messages, correspondence, and draft professional communications
- Produce high-quality, accurate reports, minutes, agendas, spreadsheets, presentations, charts, and briefs
- Arrange domestic and international business travel
- Process monthly expense reports
- Maintain detailed contacts lists, capturing and organizing essential information
- Code secure files and records, maintaining confidentiality
- Develop and maintain an organized documentation and filing system
- Assist with office upkeep, facility coordination, technical support, and mail
- Provide support for special projects
- Partner with HR to coordinate staff training and events
- Document and streamline office processes and procedures
Qualifications:
The clients are seeking a polished and mature professional who can represent the President in any setting and capably anticipates needs.
- 6+ years of proven experience as an Executive Assistant supporting a CEO, President, or C-Suite executive
- Bachelor's Degree or relevant certification preferred
- Exceptional organizational and time management skills; able prioritize and plan effectively
- Strong problem-solving abilities and attention to detail.
- Understands discretion and confidentiality
- Strong sense of office management systems, procedures, and technology
- Advanced proficiency in Microsoft Office 365 (especially Outlook, Excel, and PowerPoint) and Adobe Acrobat.
- Strong written and verbal communication skills
- High EQ with a positive attitude
- Adaptable
- Comprehensive background check required
Schedule:
Monday to Friday, 9:00 am to 5:00 pm, with flexibility for extended hours and weekend work as required.
Compensation:
Base compensation of $125,000 - $150,000 offered, commensurate with experience.
