Executive Personal Assistant to the Chairman – Downtown Milwaukee Real Estate Development Firm – In Office, 5 days per week

A well-established real estate development firm based in downtown Milwaukee is seeking a proactive, professional Executive Personal Assistant to support the Chairman with daily administrative needs, reports and presentations, marketing campaigns and some personal and household-related matters. This position will be a key role in assisting the Chairman in a variety of ways, including drafting correspondence, assimilating and preparing detailed reports and Power Point decks, and occasional driving, errands, and liaising with house staff. The ideal candidate will enjoy a hands-on, highly collaborative business partnership and will thrive in an environment that values the classic role of a Executive Personal Assistant in a traditional office setting. This position is onsite, in office five days per week.

Responsibilities:

  • Provide comprehensive administrative support to the Chairman, acting as a true business partner in all matters
  • Act as a gatekeeper for calls, emails, and correspondence, including drafting emails, memos, and letters
  • Plan and prepare for meetings and events, including coordinating logistics such as scheduling, confirming attendance, arranging rooms, and managing technology and meals.
  • Support with project management, preparing meeting and marketing materials, and assisting with highly detailed proposals, reports, and presentations
  • Assist with personal tasks, including driving the Chairman, running errands, and helping with matters related to the home
  • Handle personal arrangements, including reservations, acquiring tickets, sending gifts, and organizing personal events
  • Assist in coordinating domestic and international travel, preparing itineraries, and reconciling expenses

Qualifications:

  • At least five years of professional experience in an executive or personal assistant role
  • Bright, highly tech savvy, and quick on the uptake
  • Strong interpersonal skills and an intuitive approach to supporting an executive in both professional and personal matters.
  • Discretion, loyalty, and a high level of professionalism
  • Experience working closely with C-suite executives
  • Proficient in Microsoft Office Suite and other technology tools; fast and accurate typist; able to take live dictation.
  • Some financial acumen, with the ability to prepare basic spreadsheets.
  • Excellent organizational skills, with a strong ability to track deliverables and follow through on tasks
  • Flexibility and a willingness to do whatever it takes to make the day run smoothly, including providing personal support as needed
  • Bachelor's degree preferred but not required; at least two years of advanced education is required

Schedule:

  • Full-time, in-office, Monday to Friday from 8:30 am to 5:30 pm with occasional flexibility for extra hours as needed
  • This is an in-office position; remote work is not an option.

Compensation:

  • Competitive annual salary of up to $95,000, depending on experience, plus a generous year-end performance bonus
