Aircraft Delivery Specialist

WHAT YOU'LL DO

This position expertly guides customers through the aircraft delivery workflow, commencing upon receipt of a fully executed contract and ending upon the physical delivery of the airplane. You will spearhead the smooth handoff from Sales to Delivery, and assume the role as the customer's main point-of-contact to ensure a successful aircraft delivery and unparalleled customer experience. Upon aircraft delivery, you will also spearhead the smooth handoff from Delivery to Customer Support and Flight Training.

  • Collaborate cross-functionally with Sales, Finance, Flight Training, Design, Manufacturing, and Customer Support to develop and document the aircraft delivery workflow, including key milestones and tasks (e.g., documentation review and completion, compliance with airworthiness and regulatory requirements, etc.)
  • Actively manage the workflow to ensure completion within a designated timeline and budget; anticipate and identify potential challenges and contingency plans to address proactively
  • Effectively communicate with key internal stakeholders, managing expectations, and keeping each stakeholder informed of workflow status
  • Initiate consistent and timely communication with customers, including weekly aircraft status updates 
  • Oversee the filing of customer paperwork and aircraft documents, including subscription and warranty registration and support documents for new aircraft, including FAA documents
  • Provide contracted Optional Equipment list to Production and ensure the aircraft is manufactured as outlined in the signed contract agreement
  • Organize and build "fly-away" kits for each new aircraft delivery; monitor kit inventory and proactively initiate replenishment to ensure kits are complete and delivered on time
  • Coordinate with external parties, including the customer, escrow agent, the lender, etc., to close on the aircraft purchase
  • Plan and execute Delivery Day activities, including aircraft delivery inspection with the customer and onboarding education; manage human and material resources to ensure the day delights the customer including personalized hospitality and commemorative gifts
  • Develop feedback mechanisms to gather input from key internal stakeholders to identify areas of improvement
  • Create customer feedback channels to optimize service offerings and processes 
  • Collaborate with the Flight Department to schedule training for the customer and any additional pilots 
  • Manage and maintain various planning documents and databases to ensure experiences exceed customer expectations
  • Foster a high-quality environment that supports the Epic brand
  • Assist with customer-centric events (trade shows, factory visits) and occasional front desk/reception duties upon request

WHAT YOU BRING TO THE TEAM

  • Demonstrated project management experience 
  • Experience with effectively navigating and communicating cross-functionally, internally, and externally across all levels
  • Excellent written and spoken communication 
  • Superb organization skills; deadline and schedule-oriented, yet able to flex with dynamically changing priorities
  • Demonstrated ability to be poised and effective during high-pressure situations; ability to anticipate issues and have (or quickly develop) contingency plans
  • Highest degree of ethics and professional conduct
  • Knowledge/familiarity with general aviation industry is a plus
  • Proficient with Microsoft Office suite and Adobe PDF software; CRM experience with HubSpot is a plus
