Maron Marvel has an immediate opening for a Scanner Office Coordinator. The Scanner Office Coordinator is responsible for managing the scanning and digital organization of physical documents to ensure timely and accurate recordkeeping. This position plays a key role in maintaining document integrity, supporting departmental workflows, and ensuring proper handling of confidential information. The coordinator may also provide general administrative support and assist with other office functions as needed. This is a temporary position. 

 

Key Responsibilities:

  • Operate scanning equipment to digitize a variety of documents, ensuring accuracy and image quality
  • Organize and prepare documents for scanning, including removing staples, repairing torn pages, and sorting batches
  • Index and file scanned documents into the firm’s document management or records system in accordance with naming conventions and retention protocols
  • Monitor scanning queues, troubleshoot errors, and ensure timely completion of assigned projects
  • Maintain scanning logs and records of work performed
  • Handle sensitive and confidential information with discretion
  • Coordinate with multiple departments to prioritize and manage document scanning requests
  • Assist with organizing and archiving physical files as needed
  • Maintain equipment by coordinating service calls and performing routine maintenance (e.g., clearing jams, replacing toner)
  • Support general administrative or office operations, including supply inventory, mail distribution, or receptionist backup when necessary 
 

Qualifications:

  • High school diploma or equivalent required
  • Minimum of 1–2 years of office, administrative, or scanning experience preferred
  • Proficient in Microsoft Office Suite (Word, Outlook, Excel)
  • Experience with document management systems is a plus
  • Excellent attention to detail and strong organizational skills
  • Ability to manage repetitive tasks efficiently and accurately
  • Strong interpersonal and communication skills
  • Ability to handle confidential materials with discretion
  • Capable of lifting and moving boxes or files up to 25 lbs
