Payroll Specialist

Job Summary:

Compiles payroll data to issue payroll checks and/or deposits, maintains employer and employee contributions related to retirement funds and pensions, compiles and files state and federal mandatory year-end reporting (1095-C, W-2, Federal Income, FICA, etc.), and retains payroll records per local, state, and federal statutes.  Responsible for completion and submission of all reports associated with the payroll process, and balancing into the general ledger.

 

Major Responsibilities:

  • Reconciles work hours submitted by all departments (General, Police, Fire), calculates payroll, reviews wages computed, and corrects errors to ensure accuracy of payroll.
  • Calculates the payment of wages in accordance with employee policies and the collective bargaining agreements of the FOP and IAFF.
  • Prepares and distributes payroll by direct deposit using HRIS software; and serves as first point of contact to interface with HRIS software as it relates to payroll.
  • Prepares benefits, deductions, and tax reports and submits to Accounts Payable for payment or via ACH.
  • Prepares and reconciles bi-weekly, monthly, quarterly, and annual payroll tax reports.
  • Reconciles payroll taxes and retirement payments.
  • Audits monthly insurance premium billing and payroll cash accounts as completed by Accountant.
  • Cross trains and assists finance department with other tasks as assigned.
  • Performs other duties as assigned, including assisting other departments as required.

 

Minimum Qualifications & Required Knowledge:

  • High school diploma or GED.
  • Accounting courses through post-secondary education or equivalent work experience.
  • Minimum 2 years of experience in data entry.
  • Proficient with Microsoft Excel.
  • Knowledge of relevant city, state, and federal laws, ordinances, and policies.
  • Knowledge of modern office equipment, practices, and procedures.
  • Knowledge of correct grammar and usage.
  • Skill in compiling data and preparing complex reports.
  • Skill in planning and organizing work independently.
  • Skill in performing mathematical calculations.
  • Skill in the use of computers and various software programs.
  • Skill in interpersonal relations.
  • Skill in oral and written communication.
