Administrative Support Specialist-Contracts/Insurance

The Administrative Support Specialist is responsible for providing administrative support for drivers and customers as part of the contracts and insurance team at ATS. They will work closely with drivers, contract administrators, sales representatives, and internal staff to answer questions, provide insurance certificates, enter information into our data systems, track contracts through completion, onboard with customers, and schedule meetings.

Education and Experience

  1. A high school diploma and experience in an administrative supportive role.  
  2. Experience in the transportation industry working with drivers is preferred.
  3. Must be a licensed notary public or be willing to attain and maintain such licensure.
  4. Proven administrative skills and maintain a practice of keeping them current.
  5. Must be able to maintain a high level of confidentiality.
  6. Strong interpersonal skills; able to establish trust and rapport with all levels of staff.  Able to relate effectively to diverse cultures.
  7. Strong planning and problem-solving skills; able to identify and resolve problems promptly. 
  8. Must be proficient in responding to internal and external customer situations, responding to customer needs as required.
  9. Excellent organizational skills and ability to manage multiple projects simultaneously.
  10. Must demonstrate a proactive commitment to ATS corporate values and the success of all staff.
  11. Proficient in Microsoft Office (Word, Excel, and Outlook) required.
  12. Excellent communication skills (written, listening, and verbal).
  13. Willing and able to travel infrequently, including overnight travel.

 

Essential Duties and Responsibilities

  1. Assist ATS drivers with insurance questions, send certificates of insurance, and help schedule weekly meetings and follow-ups. If necessary, assist drivers with other internal department communications.
  2. Prepare and send weekly and monthly reports for various departments regarding claims, damage, truck leases and changes, insurance, work comp, and related items.
  3. Work with ATS affiliate companies to report physical damage, terminations, death benefits, open enrollment forms, and related matters.
  4. Scan and upload documents, forms, and other information into data management systems.
  5. Prepare contract updates and obtain signatures and weekly metrics.
  6. Confirm updated payment and claim history on lien waivers and customer information.
  7. Resolve requests for information, update customer portal information and packets, process documents, and answer related questions for customers and sales representatives.
  8. Partner with internal departments to gather information needed for insurance renewals.
  9. Support claims by finding contracts and clauses.
  10. Assist with the general administration of contracts and documents by completing conversions, cleaning up files, running comparisons, pulling previous versions, and related matters.
  11. Participate in special projects, committees, and assignments (e.g., Anderson Assistance Foundation, Driver Appreciation, other ATS-sponsored events, and charitable benefits).
  12. Schedule driver orientation welcomes with ATS executives.
  13. Partner with Safety and other departments to present Million Mile Driver awards.
  14. Understands and consistently performs in accordance with ATS's Mission, Vision, and Values.

  16. Complete work responsibilities outside regular business hours as needed, and infrequent travel may be required. 
  17. Perform other duties and responsibilities as assigned.
