People Operations/Human Resources Supervisor
Position Scope:
The People Operations Supervisor role is an exempt position, under general direction of the Senior Director, People Operations or their designee, will be responsible for the overall administration of all benefits plans, retirement plans, workers compensation, employee relations and engagement and other duties as assigned.
Essential Duties:
- Maintains, interprets and supports all levels of people operations services including employee benefits, employee engagement, employee relations, terminations, recordkeeping, leaves of absence, compliance, workers compensation management, and other People-business-related functions.
- Manage all benefits enrollment functions; transactions in the benefits administration portal and HCM/Payroll systems, ensuring accuracy for all enrollments, terminations of coverage, FSA, and COBRA enrollments.
- May conduct employee orientations, open enrollment meetings, and exit interviews to understand, increase, and improve engagement.
- Compile and resolve employee incident reports; investigate and resolve all employee relations issues; and will keep abreast of ongoing laws and employment legislation.
- Will accurately disseminate information to employees pertaining to benefit plans, healthcare, employee assistance program (EAP), worker's compensation, Injury & Illness Prevention Plan (IIPP), Family Medical Leave Act, employee rights/management rights, workplace violence prevention program management, interpret policy and other business-related processes.
- Will regularly review and maintain employee benefit accruals within the agency's designated HCM system ensuring employee benefits are accrued and disbursed in accordance with company policy.
- Ability to maintain, organize, update files and databases related to personnel employment changes, insurance, employee benefits, and centralized personnel files.
- Coordinate and resolve all worker's compensation issues; will maintain separate confidential files for all worker's compensation claims; will log all injuries and loss of time; will maintain a record of injuries using form OSHA No. 300; and will be knowledgeable and adhere to other guidelines required by Cal-OSHA.
- Responsible for the maintenance of company(s) organizational charts and employee directory.
- Receive, review and resolve administrative/human resource related issues ensuring compliance in Health Benefits reporting, ACA reporting, and ensure accurate and timely filing of all forms to the appropriate government agencies.
- Consults with Senior Director, People Operations, as appropriate, on personnel matters, benefit matters, reporting and compliance matters.
- Will be knowledgeable in general employment law: EEO, DFEH, Affirmative Action, Cal-OSHA, ADA, FMLA and other state and federal requirements. Responsible for all federal, state and Cal-OSHA posters to be displayed in general area.
- Ability to function appropriately with HCM/HRIS and payroll systems, ensuring people related information is entered and maintained accurately.
- Continuously strive to provide excellent customer service, interpersonal communication and serve as a source of accurate information.
- Provide assistance and guidance to agencies’ people operations staff.
Secondary Duties:
- Will attend agency, public, professional meetings and/or committees serving as a corporate representative.
- Periodically organize events, schedule speakers, or coordinate training.
- Maintain business relationships with all legal and people-business related institutions.
Education, Experience and Skills Required:
- High school graduate or equivalent (GED) plus a bachelor’s degree in business administration, human resources or related field.
- Must be able to work independently.
- Professional Human Resources Certification (preferred).
- Prior human resources/people operations experience required (5-10 years preferred).
- 3 -5 years of experience managing 401k retirement plans, health benefits plans, open enrollment, and worker’s compensation.
- Experience managing employee relations issues, conducting investigations, and communicating effectively with team members.
- Ability to read, write and communicate effectively in English and Spanish.
- Practical application of Micro Soft Office Suite, Word, Excel, and Power Point is required.
- Valid California Driver's License and insurance.
- Experience with ADP Vantage is essential, experience with ADP Lyric would be a plus.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to read, write, and comprehend complex issues.
- Must be able to lift up to 15 pounds at times.
- Must be able to work across various departments of a given location.
- Periodic/monthly travel throughout southern California required.
- Can work Remote with regular periodic travel to headquarters and branches (within Imperial Valley, San Diego and Corona – Must be proficient in reporting and communication at all levels of the organization.
