Timekeeping Analyst

Position Scope:

Under general direction, from the Billing Supervisor or their designee, the timekeeping analyst will perform a variety of duties relating to timekeeping.  This position will serve as the agency's technical lead for electronic timekeeping. Subsequently, this position will be responsible for reviewing and processing employee timecards/sheets, providing accurate and timely responses to requests and identifying and recommending effective and efficient process improvements, and providing accurate and timely solutions for our timekeeping software. This is a hybrid position, with trips to the office in Brawley, California. 

Essential Duties:

  1. Review all electronic timecard entries for accuracy. Research and follow-up on all errors and/or discrepancies with Respite Care Providers.
  2. Analyze and evaluate data recorded on paper timecards compared to data entered electronically into the timekeeping software to ensure consistency.
  3. Identify, resolve and follow-up with all incomplete and/or incorrect timesheets ensuring completion and accuracy.
  4. Review, monitor, and reconcile time and attendance information within the electronic time management system.
  5. Responsible for software-related trouble shooting of technical problems encountered.
  6. Ability to explain and/or teach all Respite Care Providers the use of the timekeeping software.
  7. Maintain ongoing communication (verbal and written) with respite services department, clients, the regional center, human resources, and payroll departments.
  8. Work independently to accomplish tasks and meet assigned deadlines.
  9. Assist with creating and/or generating timely reports and updates as required by using applicable software or program tools.
  10. Ensure timekeeping actions meet standards and regulations established by state and federal entities.
  11. Ability to function proficiently with the designated respite system & any other related accounting/payroll/billing system; ensuring billing related information is entered and maintained accurately.
  12. Continuously strive to provide excellent customer service, interpersonal communication and serve as a source of accurate information.

Secondary Duties:

  1. Assist in other administrative areas of the organization when needed.
  2. When called upon will assist with other billing and payroll duties.
  3. Accurately perform general clerical functions in a timely and orderly manner.

Education, Experience and Skills Required:

  1. High school graduate or equivalent (GED) plus post-secondary education in accounting, business administration or related fields of study.
  2. Two to four years of experience in time and attendance.
  3. Working experience and knowledge of billing and/or accounting principles (2-3 years).
  4. Fluent in English and Spanish languages is required. 
  5. Knowledge of HCM and Payroll systems. Proven ability to master multiple software platforms required.
  6. Attention to detail and accuracy.
  7. Ability to communicate complex data clearly.
  8. Ability to read, write and communicate effectively in English and Spanish.
  9. Must possess exceptional organization skills, be detail-oriented, and have the ability to work independently to manage your time to meet deadlines.
  10. Ability to type 30 wpm and do basic business arithmetic.
  11. Practical application of MS Access, MS Excel, MS Outlook, MS PowerPoint, MS Word, and QuickBooks for a Windows environment is required.
  12. Ability to use standard office machines such as a personal computer, calculator, copier, fax machine, telephone, etc.
  13. Valid California Driver's License.
