Customer Relations Representative

Job Summary:
Under the direction of the Public Works Administrative Specialist, receives and fields citizen and employee concerns related to all Public Works departments including Engineering, Solid Waste, Street, Wastewater, and Water.  Additionally, serves as administrative support to fleet and facilities.  Must be able to remain professional in high stress situations.  Additionally, must be available for occasional evening and weekend meetings and/or events.

Major Responsibilities:

  • Serves as first point of contact for the public works facility and complex
  • Maintains phone roster and ensures call-out list is current
  • Addresses citizen and employee concerns related to public works and facilities departments via email and phone
  • Provide information and customer service support to citizens regarding public works and facilities departments
  • Submits, delegates, and monitors work orders and the progress of for all city departments
  • Ensures maintenance of public property is within the district of the City of Sand Springs
  • Ensures timely updates to necessary parties regarding ongoing work orders
  • Notify necessary parties of potential service interruptions
  • Distribute and complete mail for all Public Works Departments
  • Maintain printers, copiers and office supply inventory
  • Cross train and serve as backup to the Public Works Specialist for the purposes of timekeeping, posting agendas, and taking minutes, billing, tear down & set up of meetings
  • Performs other duties as assigned, including assisting other departments as required.

Minimum Qualifications & Required Knowledge:

  • Valid Class D Oklahoma Driver License
  • High school diploma or equivalent
  • Knowledge of relevant policies, regulations, and ordinances
  • Knowledge of modern office equipment, practices, and procedures
  • Knowledge of City and Department policies and procedures
  • Knowledge of basic accounting and mathematics
  • Skill in compiling data and preparing reports
  • Skill in planning and organizing work independently
  • Skill in establishing and maintaining files and records
  • Skill in interpersonal relations
  • Skill in oral and written communication
  • Ability to read and interpret map and service areas
  • Ability to prepare and interpret minutes and agendas
