Receptionist
SUMMARY OF FUNCTIONS:
Provides front desk and general office support through a variety of clerical activities and related tasks. Responsible for building access, answering incoming calls, greeting guests, and performing other related clerical and administrative duties.
MAJOR DUTIES AND RESPONSIBILITIES:

Greets visitors in a friendly and professional manner; determines their needs and notifies the person/department being visited

Remains within the vicinity of the reception area at all times and coordinates with department staff for substituting during any absence

Manage building access for all guests and vendors

Screen visitors at the door to ensure they should enter the Center; ask for ID when necessary.

Assist parents with check-in/check-out procedures.

Answers incoming calls promptly and courteously; transfers the caller to the appropriate staff member; takes complete and accurate messages as needed and distributes messages promptly

Checks the Center’s voicemail, retrieves messages and delivers accordingly

Gather, sort, and distribute incoming mail/packages, handle outgoing mailings, order postage supplies, and print stamps if needed.

Receive deliveries; sort and distribute incoming mail

Provides callers with general information such as center address, directions to center, fax number, website addresses, and other related information

Orders supplies as directed by Program Directors.

Oversees and maintains Frazer’s “Info” email and forward inquiries to the correct staff

Oversee copier operations and order supplies when needed.

Maintains an orderly appearance of reception and lobby area.

Performs other duties as assigned.
PHYSICAL FUNCTIONS:

Must be able to lift, push, and pull a minimum of 25 pounds

Ability to sit for extended periods of time

Ability to look at a computer screen for long periods of time

Ability to keyboard for extended periods of time
EXPERIENCE AND/OR EDUCATIONAL REQUIREMENTS:
-
High School Diploma/GED, required
-
Minimum of one year experience as a receptionist or administrative assistant
-
Minimum of two years experience in people-facing customer service
-
Computer knowledge in Microsoft and Google Drive applications, required
