Receptionist

SUMMARY OF FUNCTIONS:  

Provides front desk and general office support through a variety of clerical activities and related tasks. Responsible for building access, answering incoming calls, greeting guests, and performing other related clerical and administrative duties. 

 

MAJOR DUTIES AND RESPONSIBILITIES:

  • Greets visitors in a friendly and professional manner; determines their needs and notifies the person/department being visited 

  • Remains within the vicinity of the reception area at all times and coordinates with department staff for substituting during any absence

  • Manage building access for all guests and vendors

  • Screen visitors at the door to ensure they should enter the Center; ask for ID when necessary.

  • Assist parents with check-in/check-out procedures. 

  • Answers incoming calls promptly and courteously; transfers the caller to the appropriate staff member; takes complete and accurate messages as needed and distributes messages promptly

  • Checks the Center’s voicemail, retrieves messages and delivers accordingly

  • Gather, sort, and distribute incoming mail/packages, handle outgoing mailings, order postage supplies, and print stamps if needed. 

  • Receive deliveries; sort and distribute incoming mail

  • Provides callers with general information such as center address, directions to center, fax number, website addresses, and other related information

  • Orders supplies as directed by Program Directors. 

  • Oversees and maintains Frazer’s “Info” email and forward inquiries to the correct staff 

  • Oversee copier operations and order supplies when needed. 

  • Maintains an orderly appearance of reception and lobby area.

  • Performs other duties as assigned.

 

PHYSICAL FUNCTIONS:

  • Must be able to lift, push, and pull a minimum of 25 pounds

  • Ability to sit for extended periods of time

  • Ability to look at a computer screen for long periods of time

  • Ability to keyboard for extended periods of time

 

EXPERIENCE AND/OR EDUCATIONAL REQUIREMENTS:

  • High School Diploma/GED, required

  • Minimum of one year experience as a receptionist or administrative assistant

  • Minimum of two years experience in people-facing customer service

  • Computer knowledge in Microsoft and Google Drive applications, required
