Office Administrator/Specialist
POSITION INFORMATION
The Office Administrator/Specialist processes contracted drivers through the various steps and requirements of the qualification and onboarding process. The position consists of building required files to track company and DOT required information, tracking renewal reminders and receipts of various monthly and yearly required forms, and assisting contractors through the insurance sign up process.
BASIC RESPONSIBILITIES
- Process contractor questionnaires and send out approval or denial letters.
- Build Driver Qualification files within LME on contractors/drivers by scanning paperwork.
- Scan into appropriate driver file new CDL's, violation and review forms, and various safety letters.
- Send out monthly CDL renewal reminders and enter returned CDL information into LME.
- Send out yearly review letter for V&R forms and running MVR's.
- Issue passenger authorization letters.
- Work with contractors through the insurance sign up process making sure tractors are in compliance with DOT regulation and company policy.
- Cancel insurance on terminated contractors.
- Balance monthly insurances invoices and forward results to accounting department and insurance representatives.
- Update spreadsheet tracking new contractors and terminated contractors.
- Assist with all Independent Contractor Operating Agreements (ICOA)
- Performs other duties, tasks, or responsibilities as assigned.
- Assist Driver Qualification Supervisor in areas needed.
- Send out renewal reminders for DOT physicals, enter returned information in LME. Check National Registry for Doctor's certification, upload and send physical to licensing state.
- Run yearly Clearinghouse Queries
QUALIFICATIONS
- High School Diploma or GED
- Excellent written and verbal communication skills, strong phone etiquette
- Excellent interpersonal communication, customer service and organizational skills
- Knowledge of MS Office (Word, Excel, Outlook, Access)
WORKING CONDITIONS
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and fax machines. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a sedentary role; however, some filing is required.
