Duties:The incumbent serves as the Travel Coordinator/Liaison for OCHP. Under minimal supervision, the incumbent is responsible for coordinating with the Director and Team Leaders to organize, review and prepare all travel plans for the office. Incumbent is responsible for maintaining and tracking all travel-related matters, including but not limited to ensuring that travel authorizations and vouchers are processed according to travel regulations. The incumbent is also responsible for a variety of administrative and management functions for OCHP that require a high degree of insight into the Office's priorities, policies, and administrative procedures. - Makes all necessary travel arrangements for the Director of OCHP, Team Leaders, staff, and invitational travelers for domestic and international travel using the Agency automated data systems to prepare travel authorizations and vouchers for reimbursement. Coordinate all travel reservations and arrangements. Coordinate with the Office of International Affairs (OIA) on international travel requests; submitting requests in the FIAT database for approval and following up on visa requests, obtaining passports and State Department clearances. Ensures staff travel requests align with OCHP's travel pin, including estimated cost, prior to submission of travel authorizations and vouchers to Deputy Director and Director for review. 65%
- Providing support to the OCHP staff, establishing and maintaining records for travel requests, keeping staff abreast of Federal Travel Regulations and changes to per diem rates. Ensures staff are kept abreast of changes to automated systems such as CONCUR and assisting with OCHP staff travel coordination; answering phones, routing mail including
incoming, faxes, shipments, etc; directing visitors, duplicating/photocopying documents; and maintaining the schedule for inter-office conference facilities. 15%
- Schedules meetings for OCHP Director and outside parties, including staff from other EPA offices. Ensures required attendees are available when scheduling and responds promptly to reschedule requests from all invitees. 10%
- Prepares tracking reports on travel spending for the office and provide updates on estimated and actual travel budget dollars utilized for monthly status of funds reports generated. Generates end-of-year travel report for overall travel expenditures and CHPAC FACA travel-related expenses to track annual spending. 5%
- Provides travel training to other SEE enrollees and others; provides more in-depth internal
OCHP training on the automated systems database and travel regulations. 5%
