Personal Assistant
Position Summary:
A discerning client in Palm Beach, FL, is seeking an experienced Personal Assistant to provide top-tier support in a hybrid role. The ideal candidate will have exceptional organizational skills, a proactive mindset, and a warm, professional demeanor. This role requires on-site presence 2–3 days per week, with flexibility to work remotely on other days.
Key Responsibilities
- Calendar Management: Oversee the principal’s calendar, schedule appointments, and maintain and prioritize task and call lists.
- Collaboration: Work closely with the Family Office team and household staff to ensure smooth operations.
- Travel Arrangements: Coordinate complex domestic and international travel, prepare detailed itineraries, and assist with contingencies such as canceled flights.
- Administrative Support: Draft correspondence, manage invitations, RSVPs, and reservations.
- Document Management: Handle renewals, registrations, and key documents.
- Event Coordination: Assist with the planning and execution of parties and events.
- Healthcare Tracking: Organize and track annual healthcare appointments, prescriptions, payments, and related documents.
- Expense Management: Liaise with the Family Office to reconcile monthly spending and coordinate bill payments.
- Personal Tasks: Run errands and handle various personal duties for the principal as requested.
Qualifications
- Proven experience supporting a high-level executive or private principal, with excellent, verifiable references.
- Highly efficient self-starter, skilled in managing multiple tasks and pivoting quickly to meet the principal’s needs.
- Discreet and anticipatory, with excellent judgment and problem-solving abilities.
- Superior oral and written communication skills.
- Highly organized, detail-oriented, and adept at planning ahead.
- Strong experience with PCs and MS Office Suite.
Schedule:
Generally Monday through Friday, from 8:00 am to 5:00 pm or 9:00 am to 6:00 pm with flexibility required for extended days and weekend hours.
Compensation
A salary range of $95,000 - $120,000 offered, depending on experience, with an excellent benefits package that includes health, dental, and vision insurance, PTO, paid holidays, a 401(k) and an annual discretionary bonus.
