Patient Services Representative

Summary: Serves patients by greeting and helping them; scheduling appointments; maintaining records and accounts. 


Education:  High school diploma or GED required.  Must currently hold the ABROE or other certification or obtain upon eligibility.  Must have or be able to obtain CPR certification within 6 months.                                

Experience:    Prior experience using computer software, preferably electronic medical records.  Prior customer service experience preferred.  One year of Medical Office experience strongly preferred.  


Essential Job Functions:

  •  Answers telephone by identifying person answering and assisting callers in a pleasant manner
  • Screening, prioritizing, and returning patient calls according to office procedure
  • Schedules appointments according to office procedure and to patient's need
  • Upon checking in a patient, acquires all necessary information (registration forms, insurance card copies, responsible party's information, etc.) prior to physician seeing patient
  • Accurately performs data entry on computer system for Billing and posting payment and gathering other necessary information
  • Processes incoming and outgoing mail, records requests, patient documentation, etc.  based on office procedure
  • Ensure smooth patient flow throughout the office by assisting in other areas when needed or as requested
  • Maintains patient confidentiality at all times; adheres to all HIPAA guidelines
  • Communicates effectively by telephone and to the patient at his/her level of understanding
  • Promotes positive public relations to patients, visitors, families, physicians, and others
  • Physical appearance and conduct is consistent with acceptable professional ethics and CPC standards
  • Maintains operations by following policies and procedures, reporting needed changes and making suggestions for improvement
  • Performs other duties and responsibilities as assigned

Equipment Operated: Will use basic office equipment such as a computer, printer, copier, and fax machine.

Work Environment: Well lit medical office environment

Mental/Physical Requirements:

Must be able to lift at least 10 lbs.

Sitting 75% of the time

Standing/walking 25% of the time
