Human Resources Assistant

Job Summary:

The HR Administrator supports the Human Resources department through a range of administrative and operational tasks. This role helps ensure accurate recordkeeping, smooth onboarding and offboarding processes, effective benefits administration, and proper data management in HR systems.

 

HR Administration & Employee Records

  • Maintain and update employee records in both physical files and electronic databases.
  • Prepare HR-related documents including employment letters, contracts, and reports.
  • Respond to general HR inquiries and provide guidance on HR processes and policies.
  • Track attendance, leaves of absence, and employee status changes.
 

HRIS & Data Management

  • Perform data entry for new hires, employee changes, and terminations in the HRIS system.
  • Ensure accuracy and integrity of all employee data across systems.
  • Generate and distribute HR reports as needed to support business operations.
 

Recruitment & Onboarding Support

  • Post job openings on internal and external job boards.
  • Schedule interviews and coordinate communication with candidates.
  • Prepare onboarding documentation and support new hire orientation activities.
  • Collect and organize required documentation for employee files.
 

Benefits Administration

  • Assist with benefits enrollment, changes, and terminations.
  • Support employee questions related to benefits and liaise with providers when needed.
  • Track benefits eligibility and maintain accurate benefits records.
 

HR Projects & Event Coordination

  • Assist with the coordination of employee events, engagement initiatives, and training sessions.
  • Support HR-led projects and policy rollouts as required.
  • Prepare materials for meetings, audits, and internal reviews.
 

Qualifications:

  • Post-secondary education in Human Resources, Business Administration, or a related field.
  • 1–3 years of experience in an administrative or HR support role.
  • Proficiency with Microsoft Office (Excel, Word, Outlook); experience with HRIS systems is an asset.
  • Strong organizational, communication, and interpersonal skills.
  • High attention to detail and ability to handle confidential information with discretion.
