Human Resources Support Specialist

Responsibilities:

  • Professionally represent the company with a strong customer focus and entrepreneurial mindset
  • Provide support in all aspects for the Human Resources team, across multiple locations
  • Book travel and track travel for supported group
  • Keep department calendar
  • Maintain confidentiality in interactions with employees and managers
  • Front desk duties and office management: manage the lobby and e-receptionist, grant visitor access, order office supplies, receive packages, keep mailbox and other keys
  • Manage safety shoe and safety glass program
  • Arrange first-responder trainings and flu clinics
  • Lead employee events and recognition programs, including service milestone program
  • Support local meetings and visitors as needed
  • Serve as primary contact for vendors and reconcile and submit, document and pay monthly invoices
  • Process/Enter employment record changes related to new hires, terminations, job assignments etc.
  • Close new hire and termination checklists in a timely manner
  • Data enter into training database and access and maintain multiple support systems such as applicant tracking, ERP,  workers compensation and payroll system. Ensure data integrity with multiple systems and complete periodic data projects
  • Support new hire processes and on-boarding along with processes leading up to the hire such as offer letters and interviews
    • Arrange new hire luncheons and ensure organization announcements are completed quickly
    • Become trained in e-verify and audit new hire I-9's on arrival Day 1. 
  • Maintain, organize and manage employment files and records room, assuring accuracy and confidentiality. 
  • Execute on security and facilities responsibilities – such as managing badge system, managing eye wash, fire extinguisher, and other supply vendors
  • Own lobby and "snack shack" area – keep stocked and managed
  • Handle employee communications, bulletin boards and display monitors
  • Act as the primary point of contact for compliance programs such as workers compensation and OSHA reporting
    • Enter Workers Compensation cases into system within 24 hours and support the workers compensation process until closed
    • Complete annual OSHA reports by deadline
  • Keep inventory on company-branded items
  • Send flowers and other small gifts as congratulations or condolences for employees
  • Manage competing priorities in a fast-paced environment
  • Be the problem-solver and remain comfortable with new tasks as they arise, while keeping a focus on the customer
  • Assist with additional Human Resources projects as needed

Qualifications:

  • Prior experience in an administrative role preferred
  • Bachelor's degree or equivalent work experience
  • Ability to handle confidential information, multi-task and show a strong attention to detail
  • Strong problem solving, customer service, communication and organization skills
  • Proficiency using the Microsoft Office Suite, and ability to learn new computer applications
  • Intermediate Microsoft Excel skills
  • Demonstrated ability to professionally communicate with all levels of the organization
