A prominent Newport Beach-based principal is seeking a highly skilled and polished Executive Personal Assistant to support their dynamic personal and professional life. This is a rare opportunity to serve as a trusted right hand to a high-level individual who values excellence, discretion, and proactive support in a fast-paced, high-standard environment.
This in-home, private role requires an individual who is poised, highly organized, and exceptionally detail-oriented. You will manage everything from the principal's complex calendar to high-level correspondence, household tasks, personal errands, and philanthropic activities. Flexibility, professionalism, and a no-task-too-small attitude are essential to success in this role.
Responsibilities:
- Serve as a gatekeeper for the principal's fast-moving, ever-changing schedule
- Manage day-to-day calendar, appointments, and travel arrangements (domestic & international)
- Draft and respond to formal correspondence, including emails and handwritten notes in the principal's voice
- Oversee household administration and run occasional personal errands
- Manage clothing, personal style, and wardrobe organization
- Plan social events and coordinate gift-giving with thoughtfulness and discretion
- Route lease agreements and legal documents for review/signature (no legal background required)
- Support philanthropic efforts, including donation coordination and event sponsorships
- Handle incoming/outgoing phone calls and emails with professionalism and grace
- Occasionally work evenings or weekends based on principal's schedule
- Collaborate smoothly with another Executive Assistant — team chemistry is valued
Ideal Candidate Qualifications:
- 7+ years of experience supporting a senior executive in a private or high-profile setting
- Graceful under pressure, even-tempered, and highly proactive
- Impeccable written and verbal communication skills with a polished, professional tone
- Highly organized with strong follow-through and the ability to multitask effectively
- Technologically savvy; proficiency in Microsoft Outlook is essential
- Comfortable managing both personal and professional priorities with discretion
- Local to Newport Beach or within a short, reliable commute
- Flexible and available beyond standard work hours when needed
- Patient, intuitive, and service-oriented with a refined sense of discretion
Schedule: Monday–Friday with occasional evening/weekend availability required
Compensation: $140,000–$160,000 base + 10% annual bonus
