Deputy Court Clerk
PURPOSE OF THE CLASSIFICATION:
Performs complex clerical duties specializing in municipal court processes and procedures. Work involves a variety of independent office tasks with minimal supervision and includes frequent contact with the public.
ESSENTIAL TASKS:
- Serves as the Acting Court Clerk in their absence, assuming all associated responsibilities.
- Assists the public in-person and via telephone with problem solving and research tasks.
- Enters, processes, and verifies City arrest reports, arraignment dockets, surety and cash bonds, juvenile citations, code enforcement and animal control citations, and citizen complaints.
- Creates and sends appropriate notices to bond companies; prepares bond case listings; processes bond forfeitures.
- Accepts and posts payments; issues receipts for customer accounts.
- Balances daily transactions by account type to match state reporting requirements.
- Coordinates the State Intercept Program and third-party Collection Agency requirements.
- Requests assistance to issue arrest warrants; removes warrants as appropriate.
- Sets up and maintains both paper and electronic filing systems.
- Attends court session and ensures all court documents are accurate.
- Operates standard office equipment (copiers, phone systems, computers) learns new technologies as implemented.
- Performs other duties as assigned.
- Maintains regular and punctual attendance.

REPORTING RELATIONSHIPS:
No direct reports.
The Deputy Court Clerk reports directly to the Court Clerk.
QUALIFICATIONS:
Training and Experience: High School diploma or equivalent required. At least three (3) years of related office experience including at least one (1) year accounting or general ledger work; specialized coursework in general office practices. Municipal court experience a plus.
Knowledge, Abilities, and Skills: Considerable knowledge of modern office practices and Microsoft Office applications. Ability to work independently. Ability to handle stressful or emotional situations professionally and interact with the public effectively. Strong written and verbal communication skills. Knowledge of data entry, record keeping, and financial balancing.

Vision, speech, and hearing sufficient to perform essential tasks. Punctuality and reasonable attendance is essential. Must pass a drug screening and fitness-to-work physical exam.
Licenses and Certificates: Valid Oklahoma Class D driver’s license. Must obtain and maintain Court Clerk Certification within five (5) years of hire.
WORKING ENVIRONMENT: Work in this classification is primarily indoors in an office environment.
WORK HOURS: 8:00 a.m. to 5:00 p.m. Monday through Friday. Some evening work may be required.
