Telephone Operator/ Receptionist

JOB SUMMARY:

The Telephone Operator/Receptionist is responsible for answering and directing incoming calls, greeting and assisting visitors, and providing general administrative support to the office. This role ensures efficient communication across departments and contributes to maintaining a professional and welcoming front office environment.

Key Responsibilities:

  • Answer inbound calls on a multi-line system and transfer to appropriate personnel

  • Dispatch calls to various extensions

  • Place outbound calls as requested

  • Greet and direct visitors in a courteous manner

  • Assist with receiving and dispatching incoming/outgoing mail and packages

  • Support meeting room bookings and prepare basic refreshments when required

  • Monitor and manage stationery and office supply inventory

  • Maintain a clean and professional reception area

  • Update contact lists for internal staff and vendors

  • Perform additional administrative duties as assigned

  • Proficiency in Microsoft Office (Word, Excel, Outlook)

  • Reliable, punctual, and professional demeanor

Minimum Qualifications & Experience:

  • Diploma or Certificate in Business Administration or related field

  • At least 18 months’ experience in a similar role (Receptionist, Admin Assistant, etc.)

  • Prior experience with a multi-line phone system preferred

  • Training in Customer Service is an asset
